Executive Assistant

18.5 hours per week

Salary: £16,850 per annum

Contract term: Permanent

Location: Care for the Carers office, Eastbourne.
Hybrid working is available, and the post may include travel within East Sussex

We are seeking an experienced Executive Assistant to provide day-to-day administrative support to our Chief Executive and Board of Trustees.

You will support all members of the Senior Management Team with coordination of meetings, events and activities, ensuring excellent communication with carers, key stakeholders, colleagues and partners.

This is a varied and rewarding role that sits at the heart of our organisation, supporting our governance functions and contributing to the smooth running of Care for the Carers.
We particularly welcome applications from unpaid carers or those with lived experience of caring, although this is not a requirement.

Key Responsibilities:

  • Provide administrative support to the CEO, including managing diary, coordinating meetings and supporting communications.
  • Service Board Meetings, including creating meeting schedules, collating papers, distributing documents and preparing accurate minutes.
  • Maintain accurate governance records including Trustees’ terms of office, attendance, committee membership and pecuniary interests.
  • Support recruitment and induction of Trustees, coordinating training and ensuring smooth onboarding.
  • Coordinate recruitment and induction of staff, including composing job adverts, managing applications and supporting the interview process.
  • Support the Head of Resources with HR record monitoring including performance reviews, DBS renewals and training.
  • Support the Head of Communities with coordination of carer engagement activities.
  • Maintain Care for the Carers’ database and support reporting on engagement activities.

Essential Requirements:

  • Significant proven experience (3+ years) in an administrative or personal assistant role, supporting senior management.
  • Experience of coordinating and servicing meetings, including minute taking.
  • Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and Teams.
  • Ability to manage complex diaries, prioritise conflicting demands and meet tight deadlines.
  • Flawless written and verbal communication skills for drafting correspondence and preparing reports.
  • Experience of setting up and maintaining computerised and manual filing systems.
  • Ability to handle highly sensitive and confidential information with integrity and professionalism.
  • Ability to work autonomously, anticipate needs and take initiative.
  • High level of accuracy in all tasks.
  • Ability to build strong working relationships with staff, external partners and stakeholders, demonstrating tact and diplomacy.
